iDent Inc. (“iDent,” “we,” “us,” or “our”) respects your privacy and is committed to protecting it. This Privacy Policy explains how we collect, use, disclose, retain, and delete personal information when you use the iDent Connect mobile application (the “App”) and any related services, website (identconnect.ca), or features (collectively, the “Services”).

The App is a professional collaboration and messaging platform designed exclusively for licensed dentists, dental laboratories, and authorized sales representatives to communicate about dental cases, share treatment information, images, PDFs, and related professional content.

By using the Services, you consent to the practices described in this Privacy Policy. If you do not agree, please do not use the Services.

1. Information We Collect

We collect the following categories of information:

Information You Provide Directly

      Account and profile information: name, email address, phone number, professional role (dentist, laboratory, sales representative), clinic/lab name, registration details, and login credentials.
      Content and communications: messages, chat conversations, dental case details, treatment plans, prescriptions (RX), uploaded images/photos (including annotated dental images), PDFs, and any other files or information shared within cases or conversations.
      Invitations and contacts: information about other users you invite to cases or conversations.

Information Collected Automatically

      Device and usage data: device type, operating system, IP address, app version, usage statistics, and interaction data (e.g., timestamps of messages or case access).
      No unnecessary permissions are required; the App does not collect location data, contacts, or other sensitive permissions beyond what is needed for core functionality.

No Sensitive Personal Health Information (PHI) from Patients

While the App may be used to discuss anonymized or de-identified patient case information (e.g., photos or treatment notes), we do not intentionally collect identifiable patient health information. Users are responsible for ensuring any shared content complies with applicable professional and privacy laws (e.g., PIPEDA in Canada).

2. How We Use Your Information

We use the collected information to:
      Provide, maintain, and improve the Services (e.g., enable messaging, case collaboration, image sharing, and notifications).
      Manage user accounts, registrations, and invitations.
      Facilitate communication between dentists, labs, and sales representatives.
      Ensure security, prevent fraud, and debug issues.
      Comply with legal obligations or respond to lawful requests.
      Send important service-related communications (you may opt out of non-essential marketing).

3. How We Share Your Information

We share information only as follows:
      With other users: Case and conversation data is shared only with the participants you explicitly invite or add to a specific case/chat.
      Service providers: With trusted third-party vendors who assist in hosting, data storage, security, analytics, or app maintenance (under strict confidentiality agreements).
      Legal and compliance: When required by law, regulation, court order, or government request, or to protect the rights, safety, or property of iDent, our users, or the public.
      Business transfers: In the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

We do not sell your personal information to third parties for marketing purposes.

4. Data Retention

We retain your personal information only for as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law.

      Account and profile information: Retained for the duration of your active account or as long as needed to provide the Services.
      Case, message, and content data: Retained for the duration of the relevant case or conversation, or until you or an authorized participant deletes it. Once a case is closed or deleted by all participants, associated data is scheduled for deletion.
      Usage and device data: Retained for a limited period (typically up to 12–24 months) for analytics, security, and improvement purposes.

After account deletion or upon valid deletion request (see Section 5), we will delete or anonymize your personal information within 30 days, except where retention is required by law (e.g., for billing records, legal compliance, or fraud prevention). Backups or archived copies may take up to an additional 30 days to fully purge.

5. Your Rights and How to Delete or Manage Your Data

You have the right to access, correct, update, or delete your personal information. Specifically:
      Delete your account or specific data: You can delete individual cases, conversations, images, or your entire account directly through the App’s settings or account management features. Deleting an account or case will remove the associated data from active use.
      Request deletion: If the in-app tools are unavailable or you need assistance, contact us at identconnect@gmail.com. Provide your account email and a description of the data you wish to delete. We will process verified deletion requests within 30 days (or sooner where required by law).
      Other rights: You may also request a copy of your data, object to certain processing, or withdraw consent where applicable. We will respond to such requests promptly and in accordance with applicable privacy laws (including PIPEDA in Canada).

Note: Deleting data may be irreversible and could affect your ability to use certain features of the Services.

6. Data Security

We implement reasonable administrative, technical, and physical safeguards to protect your information (e.g., encryption in transit, secure servers, access controls). However, no system is completely secure, and we cannot guarantee absolute security.

7. Children’s Privacy

The Services are intended for professional adult users (dentists, labs, and sales representatives) and are not directed at children under 18. We do not knowingly collect personal information from children.

8. International Data Transfers

iDent Inc. is based in Canada. Your data may be stored and processed in Canada or other countries where our service providers operate. We ensure appropriate safeguards are in place for any cross-border transfers.

9. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy within the App, on our website, and/or via email. Your continued use of the Services after changes take effect constitutes acceptance of the revised policy.
